This week expands Copilot capabilities across Teams meetings, Copilot Notebooks and OneNote, and adds new admin controls and analytics.

Microsoft Teams is adding a Facilitator capability that detects when participants ask questions or express uncertainty and proactively surfaces answers using web search in meeting chat. This can change in-meeting information flow and how users rely on chat for real-time answers. Review your meeting governance and web search/grounding policies if you need to restrict external sourcing.

Copilot Notebooks will recommend relevant files based on your Microsoft 365 knowledge and the content in the notebook to reduce repetitive prompting. Users can more quickly generate new content using existing context directly within the notebook experience. Validate information governance expectations for suggested content surfacing.

Teams Rooms on Windows and Android will support Facilitator AI-powered notes for in-person meetings, capturing notes, decisions, and action items without needing a scheduled or hybrid meeting. Notes are stored in your tenant and not left on the room device after the meeting ends. Prepare user guidance for room experiences and confirm compliance expectations for meeting note storage.

Admins will be able to exclude specific domains from Copilot web grounding so responses align with organizational policies and trusted sources. This provides more control over which external web content can influence Copilot answers. Plan policy decisions and implement domain exclusions where required.

Microsoft 365 Copilot release preferences will support assigning Entra ID groups to Standard or Deferred release audiences instead of only individual users. This enables phased rollouts and tighter change management for Copilot updates. Review your current rollout approach and update targeting to groups where appropriate.

Microsoft Purview Data Lifecycle Management will introduce insights on how Copilot and AI apps are used, with recommendations to strengthen retention and governance. This expands visibility into AI interactions to help improve security posture. Evaluate preview availability and how recommendations align with your retention strategy.

Teams will provide a Recap app that centralizes recordings, transcripts, and AI-powered summaries to help users catch up on meetings. This can increase discovery and reuse of meeting artifacts across the last 30 days. Update end-user guidance for where to find recaps and what content is retained/visible.

Viva Learning Academies will be available in Microsoft Teams mobile, extending organization-curated learning journeys to mobile users. This increases learner access without changing existing admin controls and permissions. Prepare communications for mobile learners and confirm any policy expectations for mobile learning access.

Copilot Notebook is coming to OneNote on Mac, enabling Copilot-powered organization, reasoning, and actions on note content directly within OneNote. This expands Copilot Notebook availability to Mac users. Ensure eligible users have Microsoft 365 Copilot licenses and update onboarding materials for OneNote on Mac.

OneNote Mobile on Android will add a Copilot chat pane for Microsoft 365 Copilot-licensed users, including a Summary feature for long pages. This changes how users can interact with and review notes on mobile. Update mobile support documentation and confirm licensing expectations for affected users.

Copilot Studio will allow makers to define custom metrics for analytics to measure outcomes and business impact of agents. This enables more tailored evaluation beyond built-in savings analytics. Plan how teams will standardize metrics definitions and governance for reporting.

Sales in Microsoft 365 Copilot will support multi-channel outreach across web chat, voice, SMS, and email via configurable playbooks. This expands how sales teams engage customers and can affect consent, logging, and content guidance requirements. Review channel compliance needs (consent/retention) and CRM integration expectations before enabling.
